Earthquake Repairs - UPDATE

The insurance agent, the carrier Travelers, Servpro and ProCAM are doing everything possible to process the water remediation work as soon as possible and will try to accommodate the owners schedules as best they can. ProCAM will continue to provide updates to the Board and owners/residents during the various phases of the project.

Status and Next Steps:
• The association holds a policy for earthquake damage coverage. Coverage was confirmed with the agent and a claim was filed with the insurance carrier Travelers on 24 August, Management was contacted by the adjuster from Travelers on 25 August to inform him that the claim was received and assigned claim # A3R9553.
• The following information is provided to clarify the next steps in the repair procedures:
Water Remediation:
• The water remediation work has been approved and started by Servpro.
• Depending on the amount of water damage to the units and stairwells, the water remediation should be completed during the week of 9/5/11.
• Due to other contracts obligations Servpro will only be performing the water remediation work of this claim. Servpro will not be performing the restoration work.
• All owner/renter’s issues and questions during the water remediation work need to be directed to management or the contractor for prompt responses.  You may contact one of the following:

Restoration Repairs:
• Management will meet with Traveler’s cost estimator/contractor Old Dominion  Specialties’ Construction to inspect all damaged units and common areas to establish a cost estimate comparison for repairs that will submitted to the insurance adjuster for review and approval. All units and common entry stairwells located at the following addresses will be inspected on the following dates and times.
o On Wednesday 8/31/2011 from 9:00 am to 6:00 pm All units and common areas located at 1506, 1516, 1546, 1550, and 1556 Northern Neck Drive.
o On Thursday 9/1/2011 from 9:00 am to 6:00 pm All units and common areas located at 1582, 1587 Leeds Castle Drive and 8830, 8836 Ashgrove House Lane.
o In order to process the claim in a timely manner it is mandatory that the owner or the owner’s representative be present at their units to allow entry access for and during the inspections during the scheduled dates and times listed above.
• Old Dominion will submit the cost estimate proposals to the Travelers adjuster the week of 9/5/11 for review, adjustments and approval.
• Old Dominion will begin the restoration work as soon as the proposals are approved by the adjuster. Depending on the amount of damage in a unit, the restoration work could take 2 to 6 weeks to be completed.
• Please be advised that the Association’s by-laws require owner/renter to provide access and be present in the unit during the remediation/restoration work.  Owner/renter’s failure to comply with this requirement will prevent the contractor from completing the work in a timely manner. It is not the responsibility of the Association or Management to provide access to the units involved in the remediation/restoration process of this claim.

Informational Meeting Scheduled for 8/31/2011 at 7:00pm:
The Board, Management and Traveler’s cost estimator/contractor will hold a claims informational meeting for affected unit owners at the community building on Wednesday 8/31/2011 at 7:00 pm.  Only unit owners with damage claims may attend.
